Early Onboarding an Applicant

This does not replace CAPPS Onboarding.
Early Onboarding is not available for DFPS. DFPS supervisors will not see the Manage Early Onboarding option under Staff Management and will not receive emails to early onboard an applicant.

Early-Onboarding preparation allows you to stage in advance many standard IT requests. Once the user is in a “Ready to Hire” state in CAPPS, you can submit requests that will be staged automatically for the user via the Enterprise Portal. This staging allows some requests to be submitted immediately and others to be submitted immediately after the user is on-boarded in CAPPS allowing you more time to focus on your new staff and less on getting things they need. Early onboarding allows you to speed up the onboarding process through features like:

  • Verifying user information

  • Sending an AUA link directly to the employee’s personal email address for users needing access in the Enterprise Portal (Paper copy still required for HR)

  • Creating the employee’s network account and email address for HHSC employees only

  • Ordering hardware and software thus providing a shorter wait time for new hire computers

  • Requesting access for applications requested through the Enterprise Portal

  • Tracking your order(s)

Early onboarding is currently only available for potential HHS employees. This process is not currently available for intra-agency transfers, contractors, volunteers, interns, or partner staff.

You must submit the order for the early onboarding process to be complete. Your work will not be saved if you have not submitted the request before leaving the Enterprise Portal. Please click the links below for instructions on the process.

Prior to onboarding an applicant in CAPPS, you can delegate your onboarding tasks in the Enterprise Portal to someone else. Once your order is submitted, you can review your order details or cancel your early onboarding order.

Reminder: You must remember to onboard the applicant in CAPPS on their start date. Final provisioning of ordered items doesn't take place until the applicant is onboarded in CAPPS and an employee ID is provided. The Manager Onboarding for *New Hire & Rehire (not an inter or intra agency transfer) Checklist must still be completed along with all other standard new hire policies for your program area.
